Answers to common questions about how we work, what we do, and whether Vantoryn might be a good fit for your organization.

We work with regional enterprises, distributed service teams, and multi-location organizations that need to coordinate operations across multiple sites or teams. Our clients typically have 50 to 2,000 employees and operate in service delivery, distribution, healthcare administration, facilities management, and similar industries. We're most effective when organizations have invested in technology but need help making their operational systems work together coherently.
Engagement duration varies based on scope and complexity. A focused workflow mapping project might take 4-6 weeks, while a comprehensive systems integration and data foundation project could span 12-16 weeks. We structure engagements in phases so you see value early, and we're transparent about timelines during our initial discovery conversations. We don't lock clients into long-term contracts—each phase has clear deliverables and you decide whether to continue.
We work with a wide range of business systems including ERP platforms (NetSuite, SAP Business One, Microsoft Dynamics), CRM systems (Salesforce, HubSpot), field service management tools (ServiceMax, Jobber), healthcare administration systems (Epic, Cerner, Athenahealth), and many others. We're platform-agnostic and focus on connecting whatever systems you're already using rather than requiring you to adopt new platforms. No. Our approach is integration-led, not platform-led. We work with the systems you already have and build connections between them. We only recommend new tools when existing systems genuinely cannot support your operational needs, and even then, we help you migrate thoughtfully rather than forcing a wholesale replacement. Most of our clients keep their core systems and we focus on making them work together more effectively.
You do. Completely. We don't host your data, we don't retain access to your systems after an engagement ends, and all documentation, configurations, and code we create belong to you. We provide full handoff documentation and training so your team can manage everything independently. If you want ongoing support, we offer that as a separate service, but it's never required.
Adoption is built into our methodology, not treated as an afterthought. We involve frontline staff in the design process from the beginning, pilot changes with small groups before broader rollout, and measure actual usage—not just deployment. We design for the constraints your teams work under (connectivity issues, time pressure, physical environment) and we don't consider a project successful until the people doing the work are using it effectively. We also provide training and ongoing support during the transition period.
Every engagement includes a transition period where we help your team manage the new systems independently. We provide documentation, training, and knowledge transfer throughout the project, not just at the end. If you want ongoing support after that transition period, we offer optional support agreements that include monitoring, troubleshooting, and continuous improvement. Many clients choose to manage independently after our handoff, while others maintain a lightweight support relationship for peace of mind.
Security is foundational to how we work, not an add-on. We follow industry-standard security practices for all client data and system access. We're happy to complete security questionnaires, provide documentation about our practices, and work with your security team to ensure our approach meets your requirements. We don't store client data on our systems—we work directly in your environment or in isolated project environments that are decommissioned after the engagement. For clients with specific compliance requirements, we can accommodate those needs.
Start with a conversation. We offer initial consultations where we listen to your operational challenges and help you think through what might be most impactful to address first. You don't need to know the solution before talking to us—you just need to understand the problems you're facing. We'll help you identify whether the issue is primarily about system integration, data visibility, workflow design, or something else, and we'll give you an honest assessment of whether we're the right fit to help.
No. We complement your internal team, not replace them. We focus specifically on operational systems integration and workflow design—the area where many internal IT teams are stretched thin or lack specialized expertise. We work alongside your IT staff, transfer knowledge throughout the engagement, and build solutions they can maintain. Many of our clients have capable internal IT teams who benefit from our specialized focus on operational workflow design and systems integration.
That's more common than you might think, and it's often why clients come to us. Failed operational technology projects usually fail for the same reasons: solutions were designed without understanding how work actually gets done, technology was prioritized over people, or the project scope was too ambitious. We take a different approach—we start by observing real workflows, we design for adoption not just functionality, and we work in phases so we can adjust based on what we learn. We're happy to discuss what went wrong in previous attempts and how our approach addresses those issues.
We're more focused and more hands-on than large consulting firms, and we're independent of any software platform unlike vendors who need to sell you their products. Our team members who scope your project are the same people who do the work—we don't hand off to junior staff after the sale. We're small enough to be flexible and responsive, but experienced enough to handle complex multi-location operations. We're also honest about what we can and can't do—if your problem isn't a good fit for our approach, we'll tell you.
